FocusFlow Privacy Policy
Effective EFFECTIVE_DATE
The short version. FocusFlow keeps your plans so it can schedule them and, if you sign in, sync them between your devices. It shows no ads, has no advertising tracking and sells nothing about you. Your calendar events are read on your phone and are not uploaded to us. Location is used only while the app is open, for travel times, reminders to leave and the weather, and only what each of those needs is sent to the service that provides it. You can use FocusFlow without an account, and you can delete your account and its data at any time.
Who we are
FocusFlow is provided by DEVELOPER_NAME ("we", "us"), which is responsible for the personal information described here (its "controller"). The person responsible for protecting it can be reached at [email protected] for any question, request or complaint.
What we collect, and why
Your account (only if you sign in)
When you sign in with Google we receive your name, email address and profile photo from Google, and give your account an ID. We use them to keep your data in your account, sync it between your devices and show who is signed in. Without signing in ("guest" use), your plans stay on your device and aren't synced.
What you put in FocusFlow
Your tasks, routines, templates and schedule; what you mark done, and your streaks and progress; your settings (such as your sleep and wake times and when you're available); places you save, such as home and work, and the places you attach to tasks. If you're signed in, this is stored in your account so it syncs and can be restored. It's used to run the app for you and for nothing else.
Your calendar
- With your permission, FocusFlow reads the calendars on your device to plan around your events. The events themselves (titles, times, attendees, notes) are not sent to us. When you mark an event done, hide it or set a reminder for it, only an identifier for the event and its date are stored in your account, so it stays done, hidden or reminded on your other devices.
- If you let FocusFlow write to your calendar, it adds your scheduled tasks to a "FocusFlow Tasks" calendar that stays on your device. If you've created a calendar named "FocusFlow" in your Google account, FocusFlow uses that one instead, and Google Calendar then stores those tasks in your Google account under Google's privacy policy. Deleting your FocusFlow account removes the tasks it added.
Your location
With your permission, FocusFlow uses your device's location only while the app is open; it never reads it in the background. It's used for:
- Travel times and reminders to leave. To work out how long it takes to get somewhere, the start and end points of the trip are sent to LocationIQ. The start is where you are when FocusFlow is open; on days you don't open it, it's the saved place you've marked as Home.
- Weather. Your location, rounded to about a kilometre, is sent to Google's Weather API to get the forecast, so outdoor tasks can be planned around rain. When FocusFlow can't tell where you are (for example while it's closed), your Home's location is used instead, rounded the same way.
- Place search. What you type when searching for a place, and the area around you (so nearby results come first), are sent to LocationIQ.
We don't keep a history of where you've been. The places you choose to save, including Home, are stored in your account as described above. You can turn location off at any time in your device's settings; those features then use your Home, or ask you for a place.
Subscriptions
FocusFlow Pro is bought through Google Play, which handles payment; we never see your card or payment details. Google Play and RevenueCat, which we use to manage subscriptions, tell the app whether your subscription is active, linked to your account ID.
Crash reports and app health
- When the app crashes or something goes wrong (for example a sync problem), a report is sent to Firebase Crashlytics: the device model, Android version, app version, what went wrong and a log of recent app activity, which can include task titles. Reports are tied to your account ID, not your name or email, and are deleted automatically after 90 days. We use them only to find and fix problems.
- Firebase App Check, with Google Play Integrity, checks that requests come from a genuine copy of the app on a real device, to protect your data and the service from abuse.
- Firebase Remote Config lets us switch features off remotely if they misbehave; it uses an identifier for the app installation.
On your device
FocusFlow keeps your data on your device so it works offline. If you've turned on backup in your Android settings, Android may also back up FocusFlow's data to your Google account, under Google's terms; you control that in your device settings.
What we don't do
- No advertising, no advertising ID, no analytics or tracking across apps or websites.
- We don't sell or rent your personal information, or share it for advertising.
- We don't use your data to build profiles of you for anyone else, or to make automated decisions about you beyond arranging your own schedule.
Our reasons for using it
Where the law asks for a legal basis (for example in the EU and the UK), we use your information:
- to provide the app and the features you choose, under our Terms of Use;
- with your consent, for calendar and location access, which you give and can withdraw in your device's settings;
- for our legitimate interests in keeping FocusFlow working and secure (crash reports, App Check, Remote Config), which we've weighed against your privacy and kept to what's needed;
- to meet legal obligations, such as keeping records of purchases.
Who receives it
Only the service providers that run parts of FocusFlow for us, each limited to what its job needs:
| Provider | What for | What it receives |
|---|---|---|
| Google Firebase (Google LLC) | Sign-in, storing and syncing your data, crash reports, App Check, Remote Config | Your account, what you put in FocusFlow, crash reports, device and app checks |
| Google Weather API (Google LLC) | Forecasts | Your location or your Home's, rounded to about a kilometre |
| LocationIQ (Unwired Labs) | Place search and travel times | Your search text and the area around you; the start (where you are, or Home) and end points of trips |
| RevenueCat | Managing subscriptions | Your account ID and subscription purchases |
| Google Play (Google LLC) | Selling subscriptions, app integrity checks | Purchases, under Google's own terms and privacy policy |
We may also disclose information if the law requires it, to protect people's safety or our rights, or to a successor if FocusFlow is sold or transferred, who must keep protecting it as this policy says.
Where it's stored
Our providers store and process data on servers in the United States and other countries, which may have different data protection laws from where you live, and where authorities may be able to access it under their laws. We rely on our providers' security measures and contractual safeguards for these transfers.
How long we keep it
- Your account data: for as long as you have the account. Backup copies kept for recovery expire after 30 days, and records of deleted tasks (kept so a deletion reaches your other devices) after 90 days.
- Crash reports: 90 days.
- Data only on your device: until you delete it or uninstall the app.
- When you delete your account in the app, your account and its stored data are deleted right away; if you ask us by email, within 30 days. See how to delete your account.
- Purchase records are kept by Google Play and RevenueCat as the law and their terms require.
How it's protected
Data is encrypted in transit and stored with Google Firebase, which encrypts it at rest. Access is limited to your own signed-in account, and App Check helps make sure requests come from a genuine copy of the app. No system is perfectly secure, but if a breach puts your information at risk, we'll tell you and the authorities as the law requires.
Your choices and rights
- Use FocusFlow without an account, or without calendar, location or notification access: each is asked for separately and can be turned off in your device's settings at any time.
- See, correct and delete your data in the app, or delete your whole account (Profile → Delete Account).
- Ask us for a copy of your data, to correct it, to delete it, or to stop using it for something you've consented to, by emailing [email protected]. Depending on where you live (for example under Canada's privacy laws, the EU and UK GDPR, or California's privacy laws) you may have further rights, such as to receive your data in a portable form, or to object to or restrict some uses. We may need to confirm it's you first. We'll answer within 30 days and won't treat you differently for asking.
- If you're not satisfied with our answer, you can complain to your data protection authority; in Canada, the Office of the Privacy Commissioner of Canada.
Children
FocusFlow is not directed to children under 13, and we don't knowingly collect their personal information. If you believe a child has given us information, contact us and we'll delete it.
Changes to this policy
If we change this policy, we'll post the new version here with a new effective date. If a change affects how your information is used in a significant way, we'll also let you know before it takes effect, in the app's release notes or by email if you're signed in.
